Usage data bundles

When a bundle contains a usage-based component, a change in its quantity can be applied automatically to all other components of the bundle. This keeps the components of grouped subscriptions (e.g. a third-party license sold together with a proprietary service) in the correct ratio without manual corrections.

Setup

The automatic adjustment is enabled per bundle with the Adjust quantities by usage data field on the Bundle page (function Edit Bundle). In sales documents, the field is shown as Adjust quantities by usage data (contract), because the adjustment only takes effect once the bundle is in a customer subscription contract. The setting is carried over to the bundle in the customer subscription contract when the shipment is posted.

The field can only be enabled if the bundle meets the following conditions:

  • The bundle contains at most one component whose customer subscription line has Usage Based Pricing = Usage Quantity. This component triggers the adjustment. If the bundle contains more than one such component, the field is read-only.
  • No component of the bundle has a customer subscription line with a different usage-based pricing, such as Fixed Quantity or Unit Cost Surcharge. These carry no usage quantity the adjustment could follow.

While the field is enabled, components that violate these conditions cannot be added to the bundle.

Adjusting quantities by usage data

When the quantity of the subscription of the usage-based component changes, for example by processing usage data, the quantities of all other components are changed automatically. Each component keeps the ratio it had to the usage-based component before the change: the difference in quantity is multiplied by this ratio and added to the component's quantity. The bundle quantity changes by the same ratio as the usage-based component.

Example: the quantity of the usage-based component changes from 5 to 8.

ComponentRatioQuantity beforeQuantity after
Usage-based component58
Component A1:158
Component B1:21016

If the quantity of the usage-based component was 0 before the change, there is no ratio to apply. In this case, the difference in quantity is added to every other component unchanged and the bundle quantity remains as it is.

Changing the quantity of any other component does not affect the rest of the bundle. It defines a new ratio for that component instead.

Vendor subscription lines are not adjusted separately. They follow the quantity of their subscription as in Business Central standard.

Bundles without adjustment by usage data

If Adjust quantities by usage data is not enabled, quantities in a customer subscription contract behave as follows:

  • Changing the bundle quantity in the contract line changes the quantities of all components by the same ratio.
  • Changing the quantity of a single component changes only that component. A notification prompts to review the other components of the bundle and to adjust their quantities if required.

Assigning bundles to contracts

A bundle is always assigned to a customer subscription contract as a whole. See Preassigning contracts for details.
