With DYCE Prepaid Services it is possible to pre-sell Professional Services, Service Commitments or budgets of any kind, which can be consumed afterwards via different processes. The app extends the functionality of DYCE Project Billing.
📄️ Changelog
DYCE Prepaid Services is updated as needed and is always compatible with current and upcoming versions of Business Central. Relevant changes are described individually in the Release Notes. To filter for a specific app, the corresponding tag can be used. It is also possible to subscribe to information on updates as an RSS feed.
📄️ Purpose
A customer approaches his contact person in Sales and wants to buy some services in advance and retrieve them at a later time. It is okay for him to pay in advance as well, as long as he is able to use this budget for any services in the future.

Start by creating an item to charge a Prepaid Service. In the Item Card the corresponding checkbox can be set and further information can be stored.

On the Prepaid Services Setup page, general settings and default values are made for creating and managing Prepaid Services. In the General fast tab, there are several fields available for this purpose.

📄️ Ledger Entries
Inflows and outflows are documented in the form of Ledger Entries for a Prepaid Service. These Ledger Entries are created automatically in various ways - firstly by posting invoices for accruals and consumptions or by performing a dissolution for an expired entry. Ledger Entries are also created in conjunction with credit memos. Separately, Ledger Entries can also be created manually.
📄️ Dissolution
The system offers the possibility to automatically assign a validity to accruals. An expired Ledger Entry for a Prepaid Service can therefore be dissolved on a specific date. The batch processing Expire Residuals (action group Process) in the Prepaid Service Card is available for this purpose. In this process, an automatic pre-assignment is made for the current Prepaid Service. Alternatively, it can also be called up via the search (Alt+Q). For smooth operation, an entry can also be created in the Job Queue (report 70921131) for this purpose. 📄️ Pricing and Billing
The use of DYCE Prepaid Services is billed as a monthly fee per user who is assigned a Business Central license (Full User, i.e. Essential or Premium, not Team Member). In addition, a basic fee is charged once a month. It is possible to test the full range of functions for an unlimited period of time in advance. However, this only applies to sandbox environments for Business Central. Use in a productive environment automatically results in billing. Please refer to the DYCE website for current pricing. Regardless of this, the pricing is based on the claim to make it as fair as possible. This includes, above all, only charging for the actual benefit or added value.
