First steps
Start by creating an item to charge a Prepaid Service. In the Item Card the corresponding checkbox can be set and further information can be stored.
Then you create a Prepaid Service for a customer. The easiest way to do this is via the Customer list (or the Customer card) using the Prepaid Service action (action group New Document). In the page that opens, enter a description and, if necessary, a start date and/or a validity. In addition, one or more Projects can be linked here. This is especially relevant with regard to invoicing via DYCE Project Billing for services.
A Prepaid Service is normally charged via a Sales Order. For this purpose, the previously created item is specified in the sales line and the Prepaid Service to be topped up is selected. Through the posting, the recharge takes place. Alternatively, a Prepaid Service can also be charged on a recurring basis via a Customer Contract or the related invoices. In addition to DYCE Project Billing, DYCE Subscription & Recurring Billing is also required for this.
The credit can then be consumed, for example, by providing proactive and reactive services. For this, the Prepaid Service must be linked in the corresponding Project Tasks. After the time recording has been posted via Project Billing, an invoice can be created, respectively. The invoice is automatically posted against the balance of the Prepaid Service. If there is not enough credit in the Prepaid Service, the customer receives an invoice for the difference.
Basically, when the invoice is posted, the amount accrued by charging the Prepaid Service to a prepayment account is transferred to the revenue. Remaining budget of a Prepaid Service can be dissolved after the expiration of the validity either automatically or also manually.
Postings in connection with a Prepaid Service generate corresponding Ledger entries. These can be reviewed via the respective card. It is also possible to output these Ledger entries in the form of a statement.
