Formatting options

Formatting can be used to control the way content is printed out. Among other things, this control allows headings to be printed and components to be hidden. A headline can be printed bold and on a new page, in a bundle the components can be printed without their own price or completely hidden.

The formatting can be used in most sales documents:

  • Sales Quotes
  • Sales Orders
  • Blanket Sales Orders
  • Sales Invoices
  • Sales Credit Memos The formatting cannot be changed in posted documents. It is copied when posting and when creating a subsequent document. For example, the formatting is adopted when a Sales Quote is converted into a Sales Order. In the Sales Order, the formatting can be adjusted again.

Editing the formatting

The formatting can be customized in the lines of the documents. The Print Line field can be used to control whether a line should be printed. The line amount goes into the receipt amount regardless of whether a line is printed. In the Formatting field it can be controlled whether the line should be printed Bold, Italic or Normal. Print Discount % controls whether the discount % from the line is printed on the receipt. The Print Quantity Only option prints the line with the quantity only. Unit price, Discount % and Line Amount are not printed or are printed with the value 0. With New Page a page break can be inserted. The line with the indicator will always be printed on a new page.

Position Numbers

Position numbers are available in the sales documents Quote, Order, Invoice and Credit Memo. They improve the clarity of the document in the printout. The position numbers are assigned automatically. For example, a bundle as a whole has an item number, the components have none. The position numbers can be recalculated and assigned automatically using the action Compute Position Nos. (in the line menu via Manage) or overwritten manually.

Format headings and bundles

Headings can be used to easily structure sales quotes, order confirmations and invoices, making them easier to read. A heading can be easily created using the Formatting and New Page fields. Enter a line of text and select the Bold option in the Formatting field. If you want the heading to always start on a new page, set the indicator accordingly.

Bundles are independent products that consist of different components. In most cases, the components should be printed without price or not at all. In both cases, formatting quickly creates an easy-to-read print document.

If you want to print the bundle without the components, simply uncheck Print Line in the component lines. This will print only the bundle, while you have created and can work with all the necessary components in the lines.

If you want the components to be printed without prices, this can be controlled by the Print Quantity Only field. If you want to highlight the bundle, change the Formatting in the bundle line to Bold. Readability and clarity are thus increased.
