Creating Work Orders from Sales Orders
DYCE Project Billing allows you to create and manage work orders directly from a sales order. A dedicated Work Orders action on the sales order opens a filtered list showing only work orders linked to the current sales order, giving a clear and consolidated overview of all related work orders in one place. New work orders created from this view are automatically linked to the sales order and pre-populated with the relevant header data.
Creating a Work Order
Open the sales order from which you want to create work orders. The Work Orders action (Related and Home tab) is only enabled if the sales order has a Project No. assigned. Once the action is triggered , the Work Orders list page opens, pre-filtered to show only work orders linked to the current sales order. Choose New to create a new work order. The work order card opens automatically, pre-populated with the Customer and Project from the sales order, and with Budget Type set to Project.
The work orders list opened from a sales order is always filtered to that sales order. It is not possible to create or view work orders for a different sales order from within this filtered context.
To add work order lines, go to the Lines tab and choose Add Lines from Project Planning Lines. The selection page lists all available Project Planning Lines for the assigned project. Lines linked to the current sales order are highlighted for easier identification. Select the relevant lines and confirm to add them to the work order. The work order is also linked back to the originating sales order via two read-only header fields: Source Document Type, set to Order, and Source Document No., set to the sales order number. Both fields are hidden by default and can be added to the layout using personalization.
The same fields are also available on the work order lines, with the addition of Source Document Line No. All three fields are informational, hidden by default, and can be added to the layout using personalization.
When a work order is assigned to a billing work order by setting the Billing Work Order No. field, the sub-work order automatically inherits Source Document Type and Source Document No. from the billing work order. For more details on the structure of a work order, see here.
When the Customer No. or Project No. is changed on the work order card, Source Document Type and Source Document No. are automatically cleared, because the link to the originating sales order is no longer valid.
A work order can also be created directly from a customer record. On the Customer List or Customer Card, use the New Document action group and choose Work Order. The new work order card opens pre-populated with the customer.
From here, the work order follows the standard process of time recording, approval, and billing, as described in Work Order.
