Absence

By recording absences, companies can ensure that operational processes run smoothly. This helps to avoid bottlenecks and maintain productivity. Good absence management contributes to better planning of resources and minimizing negative impacts on the business.

The ability to plan employees is directly linked to their availability. It is therefore important that the planning system, e.g. DYCE Project & Resource Planning, is aware of people's absences. This also helps to assess whether employees' time recordings for a period are complete.

On the Absences page, employees can record and change their absences. The display of the considered period can be switched between month and week. Depending on the selected period, each day of the week or month is displayed in the list. To keep the display lean, each line corresponds to an absence. It contains the start and end date of the absence, the number of working days absent and the Cause of Absence or its description.

Upcoming absences are displayed in the upper part of the list, past absences in the lower part.

Create absence

A new absence is created via the blue PLUS button in the top right-hand corner of the page. A dialog opens in which the cause of absence is first selected. The start and end date can then be entered or selected via the calendar. The system calculates the duration of the absence and - based on the working time model - the actual absence. The smallest unit for an absence is half a day. Absences for individual hours cannot be recorded.

If a new absence overlaps with an existing absence, the system issues a corresponding message.

Note: The selectable causes of absences are maintained in Business Central.

Edit and delete absence

In the overview of absences, a context menu is offered on the right-hand side of the list. This can be used to open and edit or delete an absence.

Effects on DYCE Time Tracking

No time recordings are expected for days with absences. The expected hours are reduced accordingly in the overview and in the list of time entries. In the time tracking calendar, absences are displayed as full-day appointments.

Effects on DYCE Project & Resource Planning

Regardless of whether they are transferred from an external system or recorded via DYCE Time Tracking, absences are taken into account when calculating resource availabilities. They are also displayed in the work order calendar for central planning.

Synchronization with third-party tools

It is neither intended nor planned to map the functional scope of HR software in DYCE Time Tracking. The focus is rather on the organisation of capacities for planning and time recording.

If extended functionalities such as holiday entitlements and remaining holiday days are required, corresponding software must be connected. This connection can be realised either via the Business Central API or the DYCE Connect Platform API using a Client Key.

Settings

Depending on whether the DYCE Web App is connected to a third-party (HR) system, the ability to record absences may need to be restricted. The settings required for this can be found in the Administration area of the DYCE Web App.
