Creating Project Planning Lines from Contracts
DYCE Project Billing allows creating Project Tasks and Project Planning Lines directly from a Customer Subscription Contract or a Subscription, without navigating to the project separately. A dedicated Project Planning Lines action on the contract or subscription gives a consolidated view of all planning lines already linked to that document and provides the option to create new ones. Each task created this way automatically records its source through the Source Type field (Contract or Subscription), making the connection between the contract and the related project work explicit and traceable at all times.
Project Planning Lines Page
The Project Planning Lines action is available on the Customer Contract card, Subscription card, and Customer Contracts list in the Navigate and Related tabs, and in the line-level context menu of any Contract line or Subscription line. The page title shows the document number and customer name, extended with the line number when opened from a specific line. The page is only accessible from the contract or subscription, not via the search bar.
The fields Source No., Source Line No., and Project No. are drill-down links. Description, Quantity, and Status can be edited inline and update the task description, planning line quantity, and task status respectively. The fields Project Task No. and Description are hidden by default and can be shown via Personalization.
New Project Planning Lines are created from the Create action in the action bar. The process is described in the section below.
Creating a Project Planning Line
Choosing Create in one of these pages opens a card page (Create Project Planning Line) where a single Project Task and Project Planning Line is created after confirmation.
The Contract / Subscription field is read-only and shows the document the page was opened from. Depending on the context, it is captioned either Contract or Subscription. If the action was opened from a specific line, the Line No. field is pre-filled and the lookup is restricted to lines of that contract or subscription. Otherwise the field is optional and can be used to associate the new task with a specific contract or subscription line.
The Project No. is required and is filtered to projects for the source customer. Selecting a project enables Item No., limited to items with a Service Billing Type. Once an item is selected, Quantity and the optional Prepaid Service No. field are enabled. When a Prepaid Service No. is specified, it is assigned to both the Project Task and the Project Planning Line on creation.
The Description defaults to the source type and document number. When a line is selected, the line description is also included. The value can be changed before confirming. Confirming with OK creates the Project Task and Project Planning Line. Time can then be recorded against the Project Task directly (see Time Recording) or through a Work Order.
Every Project Task carries a Source Type field visible on the Project Tasks page. For tasks created manually or from a Sales Order, this field already existed with the values (empty) and Order. Two new values extend this:
- Contract: the task was created from a Customer Subscription Contract.
- Subscription: the task was created from a Subscription.
The Source Type and the corresponding Source No. are set automatically when a task is created by Create action, e.g., through Create Project Planning Line card. They cannot be edited manually on the Project Tasks page, ensuring the origin of every task remains reliable.
When a Project Task is created with a Line No. selected, it inherits dimensions from the selected Contract Line or Subscription Line. If no line is selected, dimensions are taken from the contract or subscription header. If the selected project or item carries dimensions that overlap, project and item dimensions take priority and the remaining dimensions are filled from the source document.
Project Tasks and Planning Lines linked to a contract are automatically maintained when the contract changes. If a contract or subscription line is deleted and no Time Recordings exist against the linked task, both the task and its Planning Line are deleted.
When a contract line is set to Closed or when the contract is deactivated (Active = No), all linked tasks are closed. If Time Recordings exist on the task, the status is set to Time Recording Locked instead.
