Working with Jobs

The DYCE Prepaid Services app is an extension for DYCE Job Billing and enables the use of Prepaid Services in combination with Jobs. In DYCE Job Billing, Jobs are used for time recording and billing of all types of services and the integration with Sales. Background on how to build and set up Jobs is explained in this part of the DYCE documentation.

Creating Job Tasks from the Sales Order

After a Sales Order has been created which includes a Service Billing Item and the Prepaid Service No. specified, the Create Service Job Tasks action (via action group Home) can be used to create the Job Tasks including the Job Planning Lines for the respective activities. The prerequisite for calling up the action is that the Sales Order contains a link to a Job.

Job Tasks and Job Planning Lines

Job Tasks and Job Planning Lines form the basis for time recordings and the related billing of services. Information on Prepaid Services can also be provided this way. On the Create Job Tasks page, the lines with Service Billing Items are displayed, including the Prepaid Service to be used. For each Job Task, a Job Planning Line is created with the Line Type Budget and the respective Prepaid Service No.. The remaining fields in the Job Tasks and Job Planning Lines are populated in the usual manner.

When Time Recordings are posted, another Job Planning Line is created with Line Type Billable based on the Budget Job Planning Line and including Prepaid Service No.. When the Sales Order is invoiced, the specified Prepaid Service No. is consumed accordingly (via a balance line). At the same time, based on the balancing line Prepaid Service Ledger Entries are created and linked to the posted invoice. The same applies to the creation of invoices for services that are not linked to a Sales Order.

Prepaid Services in Job Tasks and Job Planning Lines

In addition to automatically creating Prepaid Service No. in Job Tasks and Job Planning Lines, you can also specify them manually.
